HTsend (“HTsend,” “we,” “us,” or “our”) provides email delivery infrastructure and tools for businesses, teams, and organizations.

HTsend helps customers send, manage, and monitor transactional and marketing email through their own sending domains and email infrastructure.

We are committed to handling information responsibly and transparently.

1. Information We Collect

HTsend collects the minimum information necessary to provide and maintain the service.

Account information

When you create an HTsend account, we may collect your email address and information necessary to authenticate and manage your account.

Recipient email addresses

When customers use HTsend to send email, recipient email addresses may be processed by our systems solely to provide the requested email delivery service.

Customers are responsible for ensuring that they have a lawful basis and appropriate permission to send email to their recipients.

Email and sending information

Depending on the services and features used, HTsend may temporarily process information required to deliver email, such as sender information, recipient addresses, delivery status, bounce information, and other technical information necessary to operate the email service.

HTsend does not sell customer recipient data or use customer mailing lists for HTsend's own marketing purposes.

Where information is only required for message delivery, HTsend does not intend to retain it longer than reasonably necessary for the operation of the service, security, abuse prevention, troubleshooting, or legally required purposes.

2. What HTsend Does Not Do

HTsend is designed to minimize the amount of customer information it retains.

• HTsend does not sell customer data.
• HTsend does not use customer mailing lists to build advertising profiles.
• HTsend does not use customer recipient lists for HTsend's own marketing campaigns.
• Customers remain responsible for the data and email lists they submit to the platform.

3. How We Use Information

Information processed by HTsend may be used to:

• Provide and operate the email delivery service.
• Authenticate and secure customer accounts.
• Deliver requested email messages.
• Process delivery, bounce, and suppression information.
• Detect and prevent spam, abuse, fraud, and unauthorized use.
• Maintain the security and reliability of the platform.
• Provide customer support when necessary.
• Comply with applicable legal obligations.

We do not use customer recipient information for unrelated advertising or sell it to third parties.

4. Customer Responsibility

HTsend provides email infrastructure. Customers are responsible for the email campaigns, recipients, content, and sending practices they use through the platform.

Customers must:

• Send email only where they have an appropriate legal basis or permission.
• Follow applicable privacy, marketing, and electronic communications laws.
• Maintain accurate and properly obtained recipient lists.
• Honor unsubscribe and suppression requests.
• Avoid sending unsolicited or abusive email.
• Use accurate sender information.
• Configure and maintain required authentication records for their sending domains.

HTsend may restrict, suspend, or terminate accounts that are used for spam, abuse, fraud, phishing, malware, or other prohibited activity.

5. Email Authentication and Deliverability

HTsend provides tools and infrastructure intended to support responsible email delivery.

Customers may be required to configure email authentication and DNS records for their sending domains, including SPF, DKIM, and DMARC where applicable.

For high-volume sending, customers are responsible for maintaining appropriate authentication, domain reputation, recipient consent, unsubscribe mechanisms, and sending practices.

HTsend does not guarantee that any particular email will be delivered to the inbox. Final delivery decisions are made by recipient mail systems such as Gmail, Outlook, Yahoo, and other providers.

Google's email sender requirements include authentication, valid DNS configuration, TLS, appropriate message formatting, spam-rate controls, and additional requirements for bulk senders. Marketing and subscribed messages may also require one-click unsubscribe functionality.

6. DNS and AWS Infrastructure

HTsend uses Amazon Web Services (AWS) infrastructure for relevant DNS and technical services.

DNS records may be managed through AWS services to support domain verification, email authentication, routing, and other technical requirements.

AWS may process technical information as necessary to provide the underlying infrastructure.

HTsend does not use DNS information for advertising purposes.

7. Data Retention

HTsend aims to retain only information reasonably necessary to operate, secure, and support the service.

Account information may be retained while an account remains active and for a reasonable period afterward where necessary for security, legal, fraud-prevention, dispute-resolution, or legitimate business purposes.

Email delivery data may be retained only for as long as reasonably necessary for service operation, security, abuse prevention, troubleshooting, reporting, or applicable legal requirements.

Where customer data is no longer required, HTsend may delete or anonymize it in accordance with its operational and legal requirements.

8. Data Security

HTsend uses reasonable technical and organizational measures designed to protect information against unauthorized access, alteration, disclosure, or destruction.

Security measures may include access controls, encrypted connections, authentication controls, monitoring, and infrastructure security provided through our hosting and infrastructure providers.

No internet-based service can guarantee absolute security.

9. Third-Party Service Providers

HTsend may use trusted infrastructure and service providers to operate the platform.

These providers may process information only as necessary to provide their services to HTsend.

Relevant infrastructure providers may include Amazon Web Services (AWS) and other providers required for hosting, email delivery, authentication, monitoring, security, and platform operations.

Advertising measurement: HTsend uses Google Ads cookies to measure which ads lead to account signups. Google receives the page visited, the ad click identifier, and a signup event. In the UK, European Economic Area, Switzerland and Quebec this runs only after you accept advertising cookies; you can withdraw anytime with "Cookie settings" in the site footer. 10. Your Rights

Depending on applicable law, you may have rights relating to your personal information, including the right to request access, correction, deletion, or other applicable privacy rights.

We may need to verify your identity before processing certain requests.

11. International Processing

HTsend may operate using infrastructure and service providers located in different countries.

As a result, information may be processed in jurisdictions other than the country where you are located.

Where required, HTsend will take appropriate measures for international data transfers.

12. Children's Privacy

HTsend is a business-oriented service and is not intended for children.

We do not knowingly collect personal information from children where prohibited by applicable law.

13. Changes to This Privacy Policy

We may update this Privacy Policy from time to time to reflect changes to the service, technology, legal requirements, or our privacy practices.

The “Last updated” date at the top of this policy indicates when the policy was most recently revised.
